Linking Jira Issues to Action Items and Follow-ups

This article explains how to link existing Jira issues to action items and follow-ups in Rootly, as well as how Rootly creates and tracks new Jira issues.

Creating New Action Items with Jira Integration

When creating new action items or follow-ups in Rootly, they can be automatically synchronized with Jira in two ways:

  1. Automatic Creation: Enable "Create Jira subtask ticket for action items" in your Jira integration settings to automatically create Jira subtasks for new action items.

  2. Manual Export: Use the "Export to Ticketing" button on individual action items to manually create corresponding Jira issues.

Linking Existing Jira Issues

To link an existing Jira issue to a Rootly action item:

  1. Navigate to the action item in Rootly

  2. Use the API or UI to update the action item with:

    • jira_issue_url: The full URL of the Jira issue

    • jira_issue_id: The numeric ID of the Jira issue

Note: The Jira admin role or equivalent permissions are required for the integration to work properly. We recommend using a service account rather than a personal account for the integration.

Status Synchronization

When an action item is linked to a Jira issue, status updates in Jira can be synchronized back to Rootly by setting up an alerts workflow. This allows teams to manage the work in either system while keeping both systems in sync.

Best Practices

  • Create action items in one system (either Rootly or Jira) and let the integration handle synchronization to avoid duplicate entries

  • Use service accounts with appropriate permissions for the Jira integration

  • Configure status mappings between Jira and Rootly to ensure accurate status synchronization
